Administrator CV example

Alex Quinn is not a real person, and Keel & Co is not a real firm. The weekly pack count is a made-up sample so you can see a bullet with a number you could actually count. Replace it with your own diary, inbox or minute-taking.

An administrator CV is about reliable paperwork and a diary someone else can trust. It is not a list of every software logo on the desktop.

Alex Quinn

Sheffield · 07700 900512 · alex.quinn@example.com

Eligible to work in the UK · office hours, one late a month for board papers

Personal statement

Office administrator who keeps a diary, a shared inbox and a meeting pack in a state someone else can use. I would rather send a short correct note than a long one that hides the action. Looking for an administrator role, not a people-management post I have not done.

Experience

Office administrator

Keel & Co (fictional professional firm) · January 2022 – present

  • Run the shared diary for six fee-earners: travel time, room bookings, and a note of who asked for the meeting.
  • Prepare a weekly pack with the agenda, the last actions, and only the papers named in the invite. A made-up sample week was eight packs, each checked against the diary before it was sent.
  • Log post the day it arrives, and chase the two items that need a signature instead of leaving them in a tray.
  • Enter new contact records from a paper form and check the spelling against the form before saving. I do not guess a missing email address.

Reception and admin assistant

Hale Room (fictional community hall) · June 2019 – December 2021

  • Covered reception three days a week: visitors, room keys, and a book that matched the online diary.
  • Reordered stationery against a list, and stopped a duplicate order by checking the last delivery note.
  • Typed minutes the same day, with actions in a list at the top rather than buried in a paragraph.

Education

  • Level 3 Business Administration apprenticeship, completed 2020
  • GCSEs, including English and maths, 2017

Skills

  • Diary and room booking
  • Shared inbox and a written handover
  • Data entry checked against the source
  • Meeting papers and same-day minutes
  • Spreadsheets, documents and a shared calendar
  • Reception cover

Skills worth listing

Match the words in the advert. If you have only watched someone else use a CRM, do not list it.

  • Diary management, including travel time and room bookings
  • A shared inbox with a handover, not a heroic unread count
  • Data entry checked against the form or the email it came from
  • Meeting packs: agenda, last actions, and the right papers
  • Minutes with the actions listed where a reader can find them
  • Spreadsheets, documents and a shared calendar
  • Reception cover, post and stationery, if you have done them
  • A CRM or case system, named only if you have updated a real record

Bullet examples

Count things you produced: packs, records, minutes. Do not invent a percentage improvement in “efficiency”.

  • Booked the meeting, the room and the travel gap, and wrote who had asked for it in the diary note.
  • Sent the pack the day before, after checking each paper was the one named in the invite.
  • Typed the actions at the top of the minutes and sent them the same day.
  • Entered new contacts from a form and corrected three spellings against that form before saving.
  • Logged incoming post and put the two items that needed a signature on the right desk.
  • Stopped a repeat stationery order by checking the last delivery note.

Administrator and office manager

An administrator or admin assistant CV should show the diary, the records and the papers. You do not need to manage people to be good at this job. Do not add “team leadership” because you showed a new starter where the envelopes are.

An office manager CV can add suppliers, a small budget you reconciled, cover for reception, and a change you made to how files or packs are done. Say what the change was. “Improved office processes” is not a change.

If the advert is for an assistant and you have been a manager, lead with the doing: the diary and the inbox. A management paragraph can sit lower. If you have never managed staff or a budget, do not borrow that wording from the advert.

Common mistakes

  • A skills line that is only software names, with no task.
  • “Responsible for providing administrative support” copied from the advert.
  • Claiming you managed a team because you booked their meetings.
  • A photo, date of birth, or full home address.
  • Minutes that start the story in the middle, with no action list.
  • An inbox hero story with no handover. Being the only person who understands the mailbox is a risk, not a skill.

ATS keywords

Use the job’s own title. Administrator, admin assistant and office manager are not interchangeable if you have only done one of them.

  • administrator
  • office administrator
  • admin assistant
  • diary management
  • data entry
  • meeting preparation
  • minute taking
  • shared inbox
  • CRM
  • reception
  • spreadsheets
  • calendar management

FAQ

What is the difference between an administrator CV and an office manager CV?

An administrator CV shows the diary, records and papers you produce. An office manager CV can add suppliers, a budget you reconciled, or a change to how the office works. Do not use the manager title if you have not done that work.

Should I list every program I have opened?

No. Name the task, then the tool if the advert asks. A spreadsheet you keep is stronger than a row of logos.

Do I need a photo on a UK administrator CV?

No. Leave off a photo, your date of birth and your marital status. City, phone and email are enough.

How do I show data entry without a made-up accuracy percentage?

Say what you typed, what you checked it against, and what you did when the source was incomplete. A percentage is only useful if you know how it was measured.
